The original file upload system required users to go through the entire agent editing process before accessing file management for local and integration upload (OneDrive, Google Drive, Gmail, and Outlook). This workflow did not match users’ frequent need to organize their data, leading to unnecessary wasted time and user frustration.
I led the design and definition of new UX frameworks to address this issue, creating a dedicated, integrated file management page directly accessible from the AI data management hub. Guided by user-centered design principles, this redesign streamlined the experience, reduced friction, and improved usage efficiency by 70%, enabling users to easily manage files and focus on their training tasks.
User Journey : Before and After
Previously, file management sat behind agent setup—multiple steps, category-by-category review. The redesign brings a front-and-center File Hub with one‑click access to upload and review. Result: a unified, data‑first flow that speeds up AI agent training.
Multiple Cloud Services Accounts
Based on user research, I led the design of a robust multi-account login experience that handles edge cases like token expiration, enabling seamless work/personal account management with a strong focus on the user experience for cross-account file management.
Large File Handling and Trade off
Previously, large file uploads were not supported, which caused failures for files exceeding the token limit. After discussing trade-offs with the engineering team, I introduced minimal UI changes to enable large file uploads and accelerated the development process.
Empowered Users with Clear Interaction
I led the redesign of the upload status system, closely collaborating with engineers and adapting solutions to cloud provider and API limitations. Now, users receive clear feedback in every upload scenario, reducing confusion and enabling confident next steps.
Native File Picker
Read API documentation thoroughly and designed solutions based on technical constraints—led native file picker design and development with consistent behavior across cloud providers and adaptable UX wireframes.
Result
After redesigning the journey, I introduced intuitive navigation, clear calls to action, and guided upload prompts, eliminating the learning curve and significantly enhancing usability. These improvements drove a 70% increase in feature adoption.
